This article guides you through creating a new user in Microsoft Dynamics 365 and assigning read-only permissions required for BonData integration.
Prerequisites
Administrative Access: You must have admin privileges in Microsoft 365 and Dynamics 365.
Available Licenses: Ensure availability of the required Dynamics 365 licenses.
Step 1: Create the User in Microsoft 365
Access the Admin Center:
Navigate to Microsoft 365 Admin Center.
Log in with administrator credentials.
Add a New User:
Select Users > Active users.
Click Add a user.
Enter User Details:
Name: Input the user's first and last name.
Username: Create a unique username (e.g.,
[email protected]
).Password: Generate automatically or set a custom password.
Require Password Change: Optionally enforce a password change upon first login.
Assign Product Licenses:
Choose the appropriate Dynamics 365 license (e.g., Dynamics 365 Sales Enterprise).
Complete the Setup:
Review details and click Finish adding.
Step 2: Synchronize the User to Dynamics 365
Allow Time for Synchronization:
Wait several minutes for the user account synchronization.
Verify User in Dynamics 365:
Go to Power Platform Admin Center.
Select your environment under Environments.
Navigate to Settings > Users + permissions > Users.
Confirm the new user appears in the list.
Step 3: Assign Security Roles
Option A: Assign an Existing Role
Navigate to Users:
In Dynamics 365, select Settings > Security > Users.
Select the User:
Find and click on the newly added user.
Manage Roles:
Click Manage Roles.
Choose a predefined role like Sales Team Member.
Option B: Create and Assign a Custom Read-Only Role
Access Security Roles:
Go to Settings > Users + permissions > Security roles.
Create New Role:
Click New, name it (e.g., BonData Read-Only Access), and provide a description.
Set Permissions:
For entities required by BonData (Accounts, Contacts, etc.), set Read privileges to Organization.
Do not grant create, write, or delete privileges.
Save the Role:
Select Save and Close.
Assign Role to User:
Return to Settings > Security > Users.
Select the user and click Manage Roles.
Assign the newly created BonData Read-Only Access role.
Step 4: Authenticate with BonData
Login to BonData:
Navigate to the Integrations section in BonData.
Select Dynamics 365 Integration:
Choose Microsoft Dynamics 365 from available integrations.
Authenticate via OAuth:
Click Connect; a new authentication window opens.
Log in using the credentials of the newly created Dynamics 365 user.
BonData is now successfully connected to Microsoft Dynamics 365 with read-only permissions.
